Tax Administrative Assistant
Chevron is seeking a highly motivated Tax Administrative Assistant to support the Tax Policy and Legal and Tax Operations teams.
Key Responsibilities
Responsibilities for this position may include but are not limited to:
- Document Processing: Organizing and storing legal and other documents. Managing SharePoint sites and access. Prepare robust CLE documentation.
- Scheduling and Coordination: Schedule meetings, manage calendars, make travel arrangements and arrange conference calls to support the tax team.
- Administrative Support: Handle general office duties, including managing supplies, processing mail, organizing team-building events, onboarding/offboarding employees or contractors, managing and monitoring all tax-related subscriptions and provide other administrative support tasks.
- Project Support: Support vendor billing and payment processing and assist with special projects and provide overflow support to other teams when needed.
Required Qualifications:
- Prior Experience: At least 5+ years of administrative assistant experience, preferably supporting tax or legal groups in a corporate environment.
- Organization Skills: Ability to independently manage multiple tasks, organize documents, and meet deadlines.
- Attention to Detail: High level of accuracy in data entry, document review, and processing to ensure compliance and prevent errors. Ability to review invoices, contracts, and documentation for accuracy and compliance.
- Technical Proficiency: Strong knowledge of procurement and vendor payment processes (e.g., SMART GEP, TeamConnect). Skill in using SharePoint, Excel, Word, Outlook, Teams. Familiarity with CLE/CPE requirements. Ability to learn new technology quickly and troubleshoot basic technical issues.
- Communication: Consistently demonstrates strong interpersonal and problem-solving skills. Exceptional attention to detail, accuracy, and organizational skills.
- Time Management: Ability to prioritize and manage multiple tasks and timely respond to inquiries, work efficiently and meet deadlines, especially during high-demand periods like tax season. Comfortable working in a fast-paced environment with shifting priorities.
- Problem-solving: Ability to anticipate needs, proactively identify issues, and propose solutions.
- Confidentiality: A proven ability to handle confidential information with professionalism and care.
