about the role

Chevron Australia is seeking an Administration Assistant to join the Functions Administration Team. Reporting to the Executive Assistant – Functions, this permanent Perth‑based role provides comprehensive administrative support to the Upstream Commercial Team.

Key Responsibilities include:

  • Scheduling high‑level meetings such as Joint Venture Partner sessions, and internal engagements

  • Updating and maintaining document tracking spreadsheets,

  • Key interface and liaison with internal and external stakeholders.

  • Submit annual STARS requests

  • Payment of annual levy permit fees

  • Maintains distribution lists and matrices

  • Coordinate Approval for Expenditure documents and track approvals

  • Coordinate and compile presentations for internal meetings

  • Managing complex international travel arrangements

  • Support Director Executions via DocuSign.

  • Ensures compliance with Information Management retention policies and maintains reference documentation.

  • Monitors and manages multiple shared mailboxes, maintains 3PC SharePoint sites and sponsor access requests to these platforms.

  • Track and archive contractual documents.

  • Manage and track Contract Approval Forms

  • Source Company Extract information from ASIC as required

  • Issue tabulations and Results of votes

  • Event support as required

  • Assists with any other general administrative tasks as required within scope of services

To be considered for this role, applicants should have:

  • High attention to detail and confidentiality required due to the sensitive nature of documentation and information that is managed by Commercial Upstream.

  • Sensitive to multicultural customs, issues, ways of working and etiquette.

  • Excellent written and verbal communication skills as this position will interface with Management Team members (Australia and Global) as well as VIPs from external companies.

  • Adaptable and flexible to last minute changes, requests as well as identifying process improvements for implementation across the Administrative Team

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) is essential.

  • Demonstrated ability to use SharePoint effectively for document management

  • Able to work autonomously or in a team environment.
